Request for Information and Quotations

The first step in the RFI-RFQ process is to capture and document all relevant information from the client.

1. Scope of Work – Amritt Inc., will create the objectives and a project strategy for each specific requirement and its ideal outcome. This information is used to set expectations and deliverables for a project for both Amritt and the client.

2. RFI Development – Amritt will prepare a survey designed to collect requisite information from all prospective suppliers.

3. Supplier List Development – Using multiple databases, our strong networks, as well as previous sourcing history, Amritt will prepare lists of suppliers that meet the various criteria for the project. A summary of these lists will be shared with the client.

4. RFI Facilitation – Amritt will collate information gathered from supplier surveys and prepare supplier profiles that will portray supplier capabilities.

5. Shortlisted Suppliers and NDAs – The RFI results will be analyzed and the suppliers deemed appropriate will be shortlisted. Amritt will arrange for getting NDAs signed by the shortlisted suppliers before sending out RFQs to them.

6. Preparing the RFQ and Launch – Amritt will prepare and release RFQs to the vetted suppliers. The RFQ will include necessary documents such as drawings, material specifications, and other relevant information that is required by suppliers in order to give an accurate quote.

7. Supplier Outreach and Follow Up – Once the RFQ is released Amritt will ensure that all details and expectations are explained thoroughly to the suppliers. Any missing data or further clarifications will also be provided. Amritt will verify supplier quotations and all incoming supplier information for accuracy.

8. Final Analysis, Project Price, Capability and Capacity – The Amritt team will review supplier responses and quotes and compare them. We will work closely with the client to explain the responses and pricing given by each supplier. We use our detailed analysis spreadsheet to manipulate pricing with the required cost breakdowns and additional costs. We then gather additional information on the most competitive suppliers to facilitate potential award.

9. Supplier Selection – We will work with the client to make a selection of 1 or 2 finalists from among the RFQ respondents, and negotiate pricing with them. All summary documents and analysis sheets will be provided to the client at the end of each RFI/RFQ process. To aid with the decision making process, additional market information for each region such as infrastructure, transportation and logistics, availability of raw materials (to mention a few), will be provided.
